Procedure For German Visa

One of the key aspects you should know about German students' visas from Nepal is the process. While the specific steps may vary depending on your circumstances, the general process is as follows:

Gather Required Documents

As you may know, there are many documents required if you wish to get a student visa. Although the specific documents may vary. the necessary documents for a student visa in general are as follows:

  • Valid passport or travel document with a validity of at least 12 months
  • Biometric passport photo that is no older than six months.
  • One Application from VIDEX
  • Signed Declaration on True and Complete Information
  • Copy of your passport's data page (A4 Size Copy) along with its last page
  • One original and one copy of the citizenship certificate
  • Birth certificate
  • Self-written letter of motivation explaining your motivation and reasons for studying in Germany
  • Proof of admission to the relevant university or institution, along with a scholarship certificate if you have any.
  • School Leaving Certificate/ Secondary Education Examination (SLC/SEE) and mark-sheets
  • Higher Secondary Education Board certificate and mark sheets.
  • Proof of previous studies in the relevant area
  • If you have graduated from a Chinese or Indian school or university degree, you must have an APS certificate. The only exception is for Nepalese students with German or European public scholarships.
  • English language certificate, if required
  • Proof of knowledge of the German language. Do note that the German embassy only accepts certificates from Goethe Centre and VHS Bhaktapur.
  • Proof of financial means to cover the cost of studying in Germany. You can use one of the following documents for this:
    • Confirmation of scholarship or stipend
    • Formal sponsorship letter sponsor living in Germany ("Verpflichtungserklärung")
    • Proof of financial status like the letter from the employer providing information regarding annual/monthly income and duration of employment, land ownership certificate. Evidence of tax payment, personal bank statements
    • Blocked account ("Sperrkonto") (not compulsory during the time of application but can be requested during the visa process.
  • Flight reservation (would be provided after the approval of visa)
  • Health insurance (would be provided after the approval of visa)
  • Visa Fee equivalent to 75.00 in NPR (the value in NPR changes depending on currency exchange rate) if no scholarship is granted.

All of these documents must be submitted in German or English or together with a certified translation. Only the application with complete documentation would be accepted. Do note that the German embassy has the complete right to ask for additional documents or an additional interview. It should also be noted that the submission of these documents does not guarantee the approval of a visa. Submission of incomplete documentation or refusal to appear for a visa interview may result in the rejection of your application.

Another key note is that the German Embassy reserves the right to forward fake documents submitted during the visa process to the police. These regulations have been issued by the embassy of the Federal Republic of Germany and can change without prior notice.

Get an Appointment

After preparing the application form and gathering documents, the next step in getting a student visa is to get an appointment. The key aspects of this process are as follows:

  • Make an appointment to submit your application. You can submit the application three months before the start of your planned trip.
  • If your application is incomplete, it will be returned without additional charge. A new appointment will be arranged.
  • There is no permission for multiple bookings. You can only book one appointment per person and passport application. You would need to provide the number of your current passport during the booking process. During the appointment, you would only be admitted into the embassy's visa section if your passport number matches the information in your reservation.
  • If you cannot keep an appointment that you have already booked, you are asked to cancel it online. Should you fail to arrive without any prior information, you will not be allowed to rebook during the next few weeks.

Processing Period

During the processing period, the embassy would review your application and make a decision whether or not to grant you the visa. They assess whether your application meets the legal requirements. During the processing period, they would not be able to answer any questions on the status of your application. After the processing period, inquiries can only be answered if the visa applicants or their legal representative/ authorised personnel are authorised in writing by the applicant.

Required Processing Time

The specific processing time required for a student visa in Germany varies as per your circumstances. That said, the average processing time is between five to seven weeks.
